Overview

Alliant is seeking a highly reliable team player to provide administrative and executive support for an active professional office environment. The position requires a discrete individual who is capable of dealing with sensitive and proprietary matters in a mature manner. This is a key team position–Alliant strives to be a great company where great people want to work and maintaining a warm and efficient office environment is a cornerstone of that goal. The right candidate will be personable, professional and flexible, with a strong passion for service. This position reports directly to the SVP of Finance and assists the CEO and Senior Leadership Team directly.

Principle Responsibilities:

Office Administration

  • Support Alliant’s culture by assuring that all public areas are clean, efficient and welcoming
  • Manage the reception area to ensure effective telephone and mail services. Manage and comply with office visitor policy
  • Manage office services vendors, including: housekeeping, food and beverage, office equipment, supplies, shipping & receiving, etc.
  • Perform general office duties including ordering supplies, maintaining records management database, ordering food and beverage, maintain organization of office kitchens including cleaning out refrigerators on a weekly basis
  • Manage set up of catering for internal, external events and client meetings
  • Plan and book travel and accommodations for company associates as required
  • Manage and book conferences as needed
  • Manage office space, including reporting building issues to the landlord
  • Provide bookkeeping backup support as needed

Executive Support

  • Complete expense reports for the Senior Leadership team
  • Type reports, memos, letters and other documents as needed
  • Answer phone calls and direct calls to appropriate parties or take messages
  • Record, type and distribute meeting minutes as requested
  • Proofread documents before execution
  • File and retrieve corporate documents, records and reports as needed
  • Provide special project support and administrative duties for company executives as requested

Key Skills and Background:

  • Bachelor’s degree or equivalent experience in appropriate field required
  • A minimum of three years’ experience in an executive administrative support role preferred
  • Must be service-minded and willing to assist individuals companywide
  • Outstanding communication, writing and presentation skills, with a strong knowledge of Microsoft Office applications, including Outlook, Word, Excel and PowerPoint
  • Must have superior organization and documentation skills
  • Must have excellent time management skills
  • Must have experience in coordinating travel arrangements for sales personnel and executives
  • Must be a critical thinker, proactive problem-solver, capable of strict attention to detail
  • Must be highly self-motivated with the ability to work on multiple projects independently in  a fast-paced environment
  • Must be flexible, team-oriented and committed to having a good time while doing a great job
  • Knowledge of QuickBooks preferred
